Exhibitor Registration

Congratulations on your acceptance as an exhibitor to the 2008 Earth Day Expo! We look forward to working with you to make your participation in the expo a rewarding experience for you and expo visitors.

In order to complete registration and reserve your sponsorship/exhibit space, you should complete the following steps as soon as possible. Please note that your exhibit space will not be reserved until all three steps are completed.

1. Review the Agreement and Guidelines.

Agreement

Parties: The parties to this Agreement are the Exhibitor, along with its participating employees, subcontractors and representatives, and Upland Hills Ecological Awareness Center (UHEAC), a Michigan non-profit charitable corporation. The parties are acting as independent contractors and no terms herein will create a joint venture, employment or partnership. Agreement: In exchange for full and timely Exhibitor payment, UHEAC will provide all items and services listed under the selected sponsorship level, including an unfinished booth area, and uncovered table(s). License: The Exhibitor is hereby licensed by EAC to demonstrate, sell, or provide samples of the products/services it listed in its Exhibitor Application, and to distribute associated marketing materials, as well as to conduct other activities listed, during the hours of the Expo (11am to 6pm Saturday, April 19, 2008) within a booth area assigned by EAC. No Exhibitor activity, including sound, will be permitted to intrude on other booth or common areas. The Exhibitor has provided a complete list of products, services and other booth activities and all other activities are expressly prohibited. The Exhibitor may set up for the Expo between the hours of 8-10:30am on the day of the Expo. All booth preparations must be completed 15 minutes before the start of the expo. The Exhibitor must remove its property, materials, and all trash no later than 7:30pm on the day of the Expo. The Exhibitor is responsible for any damage it causes to any Expo or Venue property. Indemnification: The Exhibitor will maintain in effect throughout the Expo Commercial Form General Liability Insurance. UHEAC will not be liable or responsible for any loss, damage, or theft of any Exhibitor property. Exhibitor will indemnify and hold UHEAC harmless from and against all claims, losses, liabilities, damages and expenses (including attorneys’ fees) on account of injury to any person or damage to property, arising out of any sales or other acts or omissions of the Exhibitor. Compliance: The Exhibitor will conduct its activities professionally, safely, and in accordance with Expo guidelines and policies. It will comply with all applicable local, state and federal laws and regulations. UHEAC reserves the right to immediately revoke this license for non-compliance. Cancellation: UHEAC may cancel the Expo due to a significant disrupting occurrence beyond its reasonable control. In the event of cancellation, UHEAC will provide the Exhibitor a full refund and both parties will be relieved of any further obligations of this Agreement. Authorization: The Exhibitor authorizes UHEAC to charge the full sponsorship amount to the credit card account provided by the Exhibitor directly or through UHEAC's on-line Paypal form. General: This agreement is binding upon the parties, their successors, assigns and representatives. This agreement will be enforced under the laws of the State of Michigan. This is the entire agreement regarding expo sponsorship and exhibition.

Guidelines

Exhibitor Guidelines Updated: April 4, 2008 Set Up Hours: Set-up will be from 8am to 10:30am on Saturday, April 19, 2008 for all areas and also Friday from 7pm to 11pm for all areas except the Gold Rooms (Wellness Rooms) and adjacent tables in the hall. Outside exhibits may set-up on Friday starting at 5pm. For safety and other reasons, absolutely NO delivery, set-up or tear-down of equipment or displays will be allowed during exhibit hours (11am-6pm). Unfortunately, we do not have a lot of time for exhibit set-up, so please follow the guidelines carefully. Drop-Off: For inside exhibits, drop-off materials and equipment at the north loading area of the Oakland Center off Wilson drive (see maps). The Center will provide hand carts, but you may want to bring your own, in case they are in use. You will need two or more staff - one to stay with unloaded materials and one to park. Vehicles left unattended in delivery area or on roads will block traffic and may be ticketed or towed by OU Police. Delivery: Take your equipment inside through the delivery hallway to the café, where expo staff will direct you to your booth (and watch your equipment, if you need to park). Make sure to use the drop-off and hallways areas efficiently so as not to interfere with other exhibitor deliveries. Staff will be on-hand during set-up hours to provide direction. Please be aware that others are using the Center and expo deliveries should not interfere with them. Do not arrive before set-up times, since venue set-up or other events will be in progress until then. Valuables: The Exhibit Area will not be secured, so we recommend that you keep valuables with you. We are not responsible for lost, damaged or stolen items. Booth Set Up: Check in at the Exhibitor Services Table, before you set up. You will receive your booth assignment and materials. By necessity, booth assignments are final. In consideration of other exhibitors, do not bring large items after 10am on Saturday, or block aisles or walkways as you assemble your booth. It is very important that you are ready for attendees to visit your booth 15 minutes before the doors open at 11. Signage and decoration: You will need to bring your own signage and non-damaging fastening system to display in your booth space. A wall divider will be available behind booths located in the middle of the room, and may be used to affix your signs. Tables may be used to attach signs as well. Due to strict Oakland Center policy, NO BANNERS OR SIGNS MAY BE ATTACHED TO ANY PERMANENT WALL. If your booth is in front of a permanent wall (on the outside of a room or in a hallway), bring sign stands, displays or booth backdrops to hang signs. There will be a limited number of OC sign stands, available on a first come-first served basis. You will need to bring table covering for an 8’ table. Any decoration is acceptable as long as it does not overlap, block or obstruct the view of another booth. Electrical: Standard 110 volt electrical service is available for booths against a wall. The nearest electrical outlet may be some feet away from your actual booth, so you will need to bring a 20'+ extension cord and may need a multi-outlet strip. Electric extension cords may run along the wall behind your booth area to service other booths. Interference: Electric, sound and motion from music, video, equipment and other activities must not interfere with other booths or common areas. Hand outs: You may hand out your brochures and business cards at your booth. No printed material may be handed or placed by the door, unless it is part of the handout packet pre-arranged as part of your sponsorship. Do not approach or pass out literature while guests are at other booths or in common areas away from your booth. Insurance: Exhibitors are responsible for insuring their property and activities at the expo. Tear Down: Your booth must be completely broken down and all materials and trash removed or properly disposed by 8:00pm. Please remember that this is a "green" event; do not leave any equipment, materials or trash behind. Food and Samples: Due to OU contractual obligations, exhibitors may not sell food inside the OC. Food service may be provided at outdoor exhibits. Only pre-packaged food samples may be provided indoors. All food and food sample providers must provide a certificate of liability insurance prior to the event.
